SFScon Speaker’s Guide

This page explains how the conference works for a speaker.

This year the South Tyrol Free Software Conference (SFScon 2021) will take place in blended mode: both online and at NOI Techpark, for a limited number of people. Given the current conditions we can host ~250 participants at NOI Techpark and the priority will be given to speakers and sponsors. If circumstances change, we will revert to online only participation.

Unlike an online-only conference, our aim is to provide speakers with the feeling of being present, together with the necessary infrastructure for participating online.

Each track will therefore have both a physical and an online moderator and you, as a speaker, will have the possibility to choose whether to present from the stage directly from NOI Techpark or via online streaming. Each presentation will be recorded and broadcast in streaming.

As far as online streaming is concerned, these are some tips and requirements for live streaming:

  • laptop or PC with a working video camera and microphone;
  • a stable internet connection via the 4G network or at least ADSL2;
  • Google Chrome or Chromium as browser;
  • we recommend using headphones to avoid background noise and adjusting the lights so that you are visible during the online presentation.

We therefore ask you to tell us whether you will be presenting online or in person at NOI Techpark latest by Monday, 25th October. It will eventually be possible to switch to online streaming but we kindly ask you to inform us of your intentions.

1. SPEAKER’S DINNER

Traditionally, every year, the day before the start of the conference, we organise a dinner for our speakers in order to spend some time together, get to know each other and enjoy some South Tyrolean cuisine!

We ask you to confirm your presence as soon as possible, latest by 25th October. Please let us know if you have any food allergies, intolerances or special dietary needs (vegetarian, vegan, etc.). We will gladly provide you with a suitable menu.

2. PRESENTATION TIME

Unless otherwise indicated to you personally, presentations are lightning talks of 15 minutes including Q&A.

There will be 5 minutes between each talk to allow time to change speakers. A bell will ring at the end of the 15 minutes. The bell will ring simultaneously.

3. PDF PRESENTATION

We kindly ask you to send us your PDF presentation by 8th November. In order to be sure everything is working, we will test it out beforehand! The pdf will also be uploaded to the website at the end of the conference.

[UPDATE] NOTE FOR IN-PERSON ATTENDANCE: The presentation will be pre-loaded and will be played live directly from the stage. On stage you can present using a pointer directly. It will not be possible to use your own laptop on stage!

If you have a video to present we ask you to send it to us in advance (together with the pdf of your presentation) so that the video production team has it available to run during your presentation. The video will be broadcast by the video production team.

If you have any different needs please let know in advance, latest by 8th November.

4. VIDEO INTERVIEW

During the two-day conference you may be asked to give a short video interview.

5. MEDIA KIT

Feel free to use the SFScon Media Kit! Media contents and creative assets are made available to speakers, sponsors, participants, official partners and members of the press. The use of this media content indicates you are a speaker, sponsor or participant in this event.

6. IN-PERSON ATTENDANCE: NOI TECHPARK, THE CONFERENCE VENUE

The SFScon will take place at NOI Techpark in Bolzano/Bozen (Italy).

7. ONLINE STREAMING

We ask you to tell us if you will be presenting online latest by Monday, 25th October. It will eventually be possible to switch to online streaming but we kindly ask you to inform us of your intentions.

Presentation will be on Jitsi, a free open-source video conferencing software for web.

On Tuesday 9th, Wednesday 10th and Thursday 11th you will have time slots in order to do presentation tests on the Jitsi platform from which the online stream will be broadcast.

Based on the track in which your talk is located, in the table below you can find the link to the test room to enter.

By accessing this link at the times indicated you will find a “Speaker’s Supporter” who will help you to test and learn about the Jitsi platform. This same person will also help you go online during the conference.

Please note! The final link to the room that will go online in streaming will be provided to you by your “Speaker’s Supporter” during the testing phase. It will therefore be mandatory to pass through this test room so that the “Speakers’ Supporter” can make sure that everything is ready and working to go online!

[IMPORTANT] TO GO LIVE! Each speaker must therefore be in the final Jitsi room at least 15 minutes before their scheduled presentation time. The final link will be provided to you by your “Speaker’s Supporter” during the testing phase.

8. WEBSITE & APP

The SFScon website and SFScon App will be your companions during the conference.

The SFScon App is available for Android (Google Play) or iOS (Apple Store). It is also available in a WebApp version that you can reach at https://app.sfscon.it/.

You can use these virtual platforms to check the program, watch sessions and to keep track of the talks you are interested in.

If you attend SFScon in person, register on the App and use the ‘QR code‘ at the registration desk together with your Green Pass.

9. SIDE EVENTS

B2B matchmaking We are also offering, upon registration, the opportunity to participate in a B2B-Meetings event. This side-event, organised in cooperation with EEN (Enterprise European Network), will take place on Friday the 12th November 2021 from 11:30 to 17:00H

FAQs

Will all the talks be streamed live and not pre-recorded?

All the talks will be streamed live.

What is the expected duration for the talks?

If not otherwise indicated to you personally, talks are lightning talks of 15 minutes including Q&A (as was defined in the Call4Speakers: https://www.sfscon.it/call-4-speakers/). Between the presentations there will be 5 minutes for the change from one speaker to another in which – together with the moderator who will be assigned to you – you can do a last minute rehearsal.

What is the expected duration for Q&A?

You will have a 15-minute slot that you can manage as you wish. We suggest a 10-minute talk + 5 minutes of questions. 

Will Q&A be during or after the talks?

The Q&A session must be in the 15-minute slot.

Which tool is used for video conferencing?

We will use Jitsi on our servers. You will receive links and you will have the opportunity to rehearse before the presentation.

Do I have to send you the PDF slides in advance or just project them during my screen-sharing presentation?

Yes, it will be necessary to send a pdf of the presentation in advance (by 8th November). The pdf will also be uploaded to the website at the end of the conference.

Is it possible to show a video during the presentation?

Yes, it is possible, but we ask you to send us the video in advance (together with the pdf of your presentation) so that the video production team has it available to run during the presentation. For those who are online: please let your online moderator know during the testing phase that you have a video in your presentation. In any case, your videos will be broadcast by the video production team.

Is it possible to send the presentation in PowerPoint format instead of pdf to include a video inside?

A pdf must always be sent. No other format can be uploaded to the website at the end of the conference. And since we are at a Free Software conference, PPTs are not welcome! 🙂

In the time slot dedicated to discussion with the audience, is it possible to involve additional authors of the presentation to answer questions?

Of course! You can manage your 15-minute slot as you like! You will also have online & non-online moderators at your disposal who will help you to select questions that have arrived. In this case we suggest you inform the moderator who will be assigned to you.

Is it possible to obtain reimbursement for travel or accommodation expenses?

We are sorry to inform you that we cannot take care of travel or accommodation expenses for the speakers. We would love to have you here in person, but given that the conference will be blended, you can always present online. We really hope you find a way to participate!
